Managing Healthcare Benefits

Frappe HRMS enables HR professionals in UAE companies, including small and mid-sized businesses, to efficiently manage employee healthcare benefits. It provides comprehensive tools to track and oversee health insurance details, whether companies offer full or partial premium coverage, streamlining employee benefits management with a user-friendly software solution. Health insurance management is a key component of the HRMS Dubai platform, ensuring UAE compliance requirements are met.

Why Health Insurance Management Is Critical in the UAE

Health insurance is not optional in the UAE -- it is a legal requirement. In Dubai, the Dubai Health Authority (DHA) mandates that all employers provide health insurance coverage to their employees under the Dubai Health Insurance Law (Law No. 11 of 2013). In Abu Dhabi, the Abu Dhabi Health Authority enforces similar requirements through the Thiqa and Daman schemes. Failure to provide adequate coverage can result in fines, visa processing delays, and even business license complications.

For HR teams managing dozens or hundreds of employees across multiple branches, tracking insurance policies manually using spreadsheets is a recipe for errors and missed renewals. Frappe HRMS centralizes all health insurance data within each employee’s record, giving you a single source of truth for policy numbers, provider details, coverage dates, and premium amounts.

Creating Health Insurance Records

Access Path

Navigate to: Home > Human Resources > Employee > Employee Health Insurance

Setup Process

  1. Access the Employee Health Insurance list
  2. Click on “New”
  3. Enter Health Insurance Name (e.g., the insurance provider or plan name such as “Daman Enhanced” or “AXA Basic”)
  4. Save the record

Once the insurance provider record is created, it can be linked to any number of employees, making it easy to manage company-wide policies as well as individual coverage.

Integration with Employee Records

Insurance Details Management

Within each employee’s master record, you can:

  • Link the Health Insurance Provider to the employee’s profile
  • Record Health Insurance Numbers for quick reference during hospital visits or claims
  • Track policy details including start date, expiry date, and coverage tier

This integration means that when an HR manager opens any employee record, they can immediately see the insurance status without having to search through separate files or contact the insurance broker.

Key Features

  • Centralized insurance information management across all employees and departments
  • Easy provider tracking with support for multiple insurance companies
  • Policy number documentation linked directly to employee master records
  • Seamless employee record integration that eliminates duplicate data entry

Managing Insurance Renewals and Compliance

One of the biggest challenges for UAE HR teams is staying on top of insurance renewals. Policies typically renew annually, and any gap in coverage can create compliance issues with the DHA or other regulatory authorities. With Frappe HRMS, you can:

  • Record policy expiry dates for each employee
  • Monitor upcoming renewals across the entire workforce
  • Keep a history of previous insurance providers and policy changes
  • Ensure that new hires are added to the company policy within the timeframes mandated by UAE law

For companies in high-risk industries such as construction, manufacturing, or oil and gas, proper insurance tracking is even more important. These industries often require enhanced coverage levels, and having accurate records in your HRMS helps demonstrate compliance during audits.

Benefits

  • Streamlined insurance administration that saves HR teams hours of manual work
  • Easy access to insurance information for employees and managers alike
  • Efficient policy management with centralized records
  • Simplified compliance tracking aligned with DHA and MOHRE requirements
  • Quick data retrieval when employees need insurance details for medical appointments

Administrative Capabilities

  • Track multiple insurance providers for different employee groups or grade levels
  • Manage policy renewals proactively to avoid coverage gaps
  • Document coverage details including plan type, network, and co-pay percentages
  • Monitor premium payments and employer vs. employee contribution splits
  • Maintain a complete insurance history for each employee from hire to exit
